I. ORGANIZING ENTITY AND EVENT DETAILS 

The organizing entity of the event is Sense4Fit Operational S.R.L., a company registered in Romania, with its headquarters in Voluntari, Șos. București Nord no. 15–25, Ilfov County, having the tax identification number 45892368, and registered with the Trade Registry under no. J23/4764/2022 (hereinafter referred to as “Sense4Fit” or the “Organizer”). 

The event organized by Sense4Fit is titled “Sense4Fit Summit”, and it will take place in Bucharest on August 30–31, 2025. 

By accepting these Terms and Conditions, any reference to “Sense4Fit” throughout this document shall be interpreted as referring to the organizing entity, Sense4Fit Operational S.R.L., in its capacity as the event organizer. 

II. DEFINITIONS 

For the purposes of this document, the following terms shall have the meanings specified below, unless otherwise defined in the content of the Terms and Conditions: 

● Event / Summit – The event titled “Sense4Fit Summit,” organized in Bucharest on August 30–31, 2025, consisting of a series of sports activities, conferences, workshops, demonstrations, wellness experiences, product booths, and other related activities, held in a specially designated venue. 

● Ticket – A physical or electronic document certifying the holder’s right to access the Event for one or both days of its duration. The ticket is non-nominal and includes a unique identification code. By purchasing a ticket, the Buyer agrees to abide by these Terms and Conditions. 

● Access Wristband – A certification issued by the Organizer at the Event entrance, granting the right to participate for the specified duration. It must be worn visibly at all times. Damage, transfer, or removal of the wristband may result in denied access. 

● Organizer / Sense4Fit – Sense4Fit Operational S.R.L., headquartered in Voluntari, Șos. București Nord 15–25, Ilfov County, registered with the Trade Registry under no. J23/4764/2022, tax ID 45892368. 

● Buyer – The natural or legal person who purchases a ticket to the Event, either for themselves or on behalf of others. 

Participant – Any individual attending the Event, regardless of their capacity (visitor, guest, employee, collaborator, supplier, partner, exhibitor, etc.).

● Guest – A person attending the Event based on an invitation offered by the Organizer or an official partner. 

● Exhibitor / Commercial Partner – A legal or authorized natural person conducting commercial or promotional activities at the Event under a contractual agreement with the Organizer. 

● Children’s Area – A designated and secured area within the Event venue intended for minors aged 4 to 14, accessible only when accompanied by an adult and in accordance with the Children’s Area Rules. 

● Conferences / Masterclasses – Sessions organized during the Event with the participation of speakers, coaches, or professionals in relevant fields (fitness, nutrition, entrepreneurship, mindset, etc.), available to registered participants. 

● Services – Any product, activity, workshop, experience, or facility provided by the Organizer or its partners during the Event, either free of charge or for a fee. ● Product – Any item, food, beverage, supplement, or promotional material available for sale or distribution at the Event. 

● Official Platform / Event Website – The website https://sense4fitsummit.com, where official information, ticket purchasing forms, and other organizational details are published. 

● Terms and Conditions – This document, which governs the legal relationship between the Organizer and the Participants, and is binding on all individuals attending the Event by purchasing a ticket or entering the venue. 

● Event Location – The physical space in Bucharest where the Sense4Fit Summit takes place. 

III. DECLARATIONS 

To participate in the Sense4Fit Summit event, each participant hereby undertakes and declares, under their own responsibility, the following: 

● That they have read all the provisions of the event participation rules and commit to fully complying with them; 

● That they are physically (medically) fit for sustained physical activity and for weather conditions specific to the event days; 

● That they will not be under the influence of alcohol and/or drugs; 

● That they have accurately and completely filled in the registration form and have paid the participation fee; 

● That they acknowledge and will follow the organizers’ recommendations regarding appropriate clothing and footwear to be used during the event;

● That they will strictly follow the instructions of class trainers, who are authorized to interrupt activities in the event of a breach of the event rules. 

● That they will not throw any type of waste within the event perimeter outside of designated collection areas and understand that such violation may result in disqualification from the event, without appeal (and with no right to a refund of the participation fee); 

● That they will behave decently and respectfully throughout the entire event, without disturbing other participants and/or the organizers;

● They understand the fact the line-up and schedule are subject to change. The Organizer reserves the right to modify artists, speakers, or the order of appearances without prior notice to ticket holders.

● That they have no objections to the use of photographs or video recordings made during the event in which they may appear, with the understanding that these materials will be used solely for the promotion of the event, including by organizers, sponsors, media partners, and others when creating posters, certificates, or fitness-related content; 

● That they understand the personal data collected (name, surname, email, phone number, age category) are collected solely for the purpose of event organization and are not transferred to third parties for commercial purposes; 

● That they have read the liability waiver clause published on the website, as well as the full Terms and Conditions of use, including their rights and obligations under the GDPR. 

IV. WAIVER OF LIABILITY 

In consideration of my participation (“I,” “my,” or “myself”) as a contestant, volunteer (or other staff member), and/or spectator (each a “Participant”) in a series of Sense4Fit Summit classes or other events owned, operated, licensed, or sponsored by SENSE4FIT OPERATIONAL SRL or another entity specified in section (5) (any of the above and any related activities being referred to as an “Event”), I acknowledge, accept, and agree to the following: 

Participation in an Event involves significant risk of serious injury and/or death, which may include but is not limited to: 

(i) drowning; (ii) near-drowning; (iii) sprains; (iv) dislocations; (v) fractures; (vi) heat or cold-related injuries including burns, heat illness, and hypothermia; (vii) overexertion syndromes; (viii) injuries from actions or omissions of other participants or vehicles; (ix) bites and/or stings from animals; (x) contact with poisonous plants; (xi) accidents involving, without limitation, boating, climbing, cycling, hiking, skiing, obstacle courses, trucks, cars or other conveyances, and falls from heights; (xii) heart attack; (xiii) illnesses from exposure to

contaminated water or mud; (xiv) diseases including COVID-19 or any illness arising from SARS-CoV-2 due to exposure to other participants or attendees; (xv) permanent paralysis; and/or (xvi) death. 

HAVING HAD THE OPPORTUNITY TO FULLY INFORM MYSELF ABOUT THE EVENT, I HEREBY KNOWINGLY, VOLUNTARILY, AND FREELY ACCEPT AND ASSUME ALL SUCH RISKS, WHETHER KNOWN OR UNKNOWN, INCLUDING THOSE CAUSED BY NEGLIGENCE OR OMISSIONS OF THE BENEFICIARIES DEFINED BELOW OR OTHERS, AND I ACCEPT FULL RESPONSIBILITY FOR MY PARTICIPATION IN THE EVENT. 

I knowingly and voluntarily agree to comply with all standard terms and conditions made available for participation. However, should I observe any unusual or significant hazard during my participation, I will immediately cease participation and report the hazard to the nearest Event representative. 

On my own behalf, I hereby confirm and certify that: 

(i) I am over 18 years old and legally signing on my own behalf (unless stated otherwise); (ii) I have no illnesses, injuries, or impairments that could affect safe participation in the Event; (iii) I am physically and sufficiently trained for all Event activities; 

(iv) I will not be under the influence of alcohol or drugs during the Event; and (v) I will have active medical/health insurance coverage at the time of the Event, either individually or as part of an organization. I acknowledge that I am fully aware and informed of the inherent risks and that my participation is entirely voluntary. 

Liability Release 

To the fullest extent permitted by law, I, on behalf of myself, my heirs, assignees, spouse, partner, personal representatives, and/or close relatives, hereby assume all risks and waive any and all claims against SENSE4FIT OPERATIONAL SRL, registered in Romania (Sos. București Nord 15–25, Corp B, Et. 2, Voluntari, Ilfov, J23/4764/2022, tax code 45892368, represented by Mr. Antonio Enache) and its owners, officers, directors, employees, contractors, agents, affiliates, parent/subsidiary companies, successors, assigns, media partners, sponsors, or medical providers (collectively the “Beneficiaries”), for any dispute, claim, injury, disability, death, or property loss or damage in connection with participation in the Event, whether caused by negligence or otherwise. 

I further agree to indemnify, defend, and hold harmless the Beneficiaries from any and all liabilities, costs, claims, or damages arising from my participation or association with the Event, including, but not limited to, reasonable legal fees. 

I consent to receive first aid and other medical treatments or services (including transportation) in case of illness or injury during the Event and hereby release and indemnify the Beneficiaries from any resulting liabilities or claims. I also authorize the collection, disclosure, and use of my personal medical data as necessary in connection with such services and agree to sign any 

additional documents required in this context.

The Beneficiaries reserve the right to postpone, cancel, or modify the Event due to external factors affecting the health and safety of participants. SENSE4FIT OPERATIONAL SRL shall not be obligated to refund any participation fees in the event of cancellation. 

Media Release 

In exchange for being allowed to participate in the Event, I grant the Beneficiaries irrevocable permission to use, reproduce, distribute, and publicly display any photo, image, video, film, or audio recording of myself or my child in connection with the Event, for marketing and promotional purposes, without limitation and without compensation. This includes all rights to use my name, nickname, likeness, image, voice, and performance across all media, formats, and platforms now known or developed in the future. 

I understand that I have no right to compensation in relation to such use, and I release the Beneficiaries from any and all claims in connection with such materials. 

If any provision of this Waiver and Release of Liability is found to be invalid or unenforceable by a court of competent jurisdiction, the remaining provisions shall remain in full force and effect to the maximum extent permitted by law. 

V. PERSONAL DATA PROTECTION 

In accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (General Data Protection Regulation – GDPR), Law No. 190/2018 on measures for the implementation of this Regulation, and Law No. 506/2004 on the 

processing of personal data and the protection of privacy in the electronic communications sector, the information you provide will be used by Sense4Fit Operational SRL (“Sense4Fit”) exclusively for the purposes stated in the Personal Data Processing Policy. You are not obliged to provide your personal data, but refusal to do so will make it impossible to use and deliver certain services. 

Sense4Fit is committed to not making public or selling the databases containing personal information of its clients and has taken all necessary technical and organizational measures to ensure the security of your personal data. However, we may share your personal data with other companies with which we have contractual relationships, such as marketing providers and other service providers, insurers, etc., but only under a confidentiality agreement whereby they guarantee that these data are kept secure and that the provision of this personal information is done in accordance with the applicable legislation. 

This Site uses technologies that allow the collection of certain technical information about the user: internet address, operating system used, browser type, and information about the traffic on our website. All this information collected through the Site is intended to help improve its services. Additionally, this site uses cookies, Google Analytics, and Google Ads to collect and analyze data on how you interact with our website.

Google Analytics helps us understand visitor behavior on the site, monitor its performance, and identify areas that need improvement. Google Ads is used to display relevant ads to users, based on their interests and preferences after visiting our site. These data are collected and used based on our legitimate interest in improving user experience and optimizing the effectiveness of our marketing campaigns.

VI. PHOTOGRAPHY & VIDEO RECORDING 

By participating in events organized by Sense4Fit, such as summits, parties, or classes, you acknowledge that photos and video recordings may be taken in which you might appear. These photos and videos may be used in Sense4Fit’s public communications, including but not limited to, digital marketing channels, social media platforms, and other online platforms. This usage is based on our legitimate interest in promoting the Sense4Fit brand. If you prefer not to be included in group photos, you have the right to decline participation in such photography. Please inform us if you do not wish to be photographed, and we will make every effort to accommodate your request. However, due to the nature of the event, you may still appear in the background of some photos or videos. 

For close-up shots, you have the right to refuse to be photographed at any time without any repercussions. Should you decide to withdraw your consent after the publication of any photo or video content, you may do so by contacting us at dpo@sense4fit.com. 

The images and video recordings will be used solely for the purpose of promoting the Sense4Fit brand and will not be sold or transferred to third parties. 

VII. TICKETS REFUND 

Ticket prices are generally non-refundable. However, exceptions will be made in specific legal situations, such as if the event is canceled due exclusively to our decision, without any external factors or force majeure involved. In such cases, refunds will be issued in accordance with applicable laws and regulations. Please note that outside of these specific circumstances, all ticket sales are considered final, and no refunds will be provided. 

VIII. ACCESS FOR MINORS AND KIDS ZONE RULES 1. Access of Minors to the Summit 

1.1. Access for children under the age of 4 is strictly prohibited, regardless of the type of ticket or the status of the accompanying adult. The event environment includes loud noises, flashing

lights, food sampling (including protein products), heavy equipment, and crowd density — all of which may pose significant risks to very young children. 

1.2. Child tickets may only be purchased through the Family Package, which grants access to one adult and one or more children, provided that each child is between 4 and 14 years old. 

1.3. Children cannot purchase individual tickets, are not allowed to enter unaccompanied, and may not be replaced by an adult. A ticket issued for a child is strictly non-transferable and valid only for a minor aged 4–14. Access for an adult using a child ticket is strictly prohibited. 

1.4. The adult purchasing the Family Package declares under their own responsibility that all minors fall within the 4–14 age range. Any false declaration may constitute a criminal offense of falsifying statements under Article 326 of the Romanian Criminal Code. 

2. Kids Zone – Access and Supervision Rules 

2.1. The Kids Zone is a physically separated, specially arranged area within the Sense4Fit venue. Access is granted only with a child wristband, provided at check-in and marked with the parent’s phone number. The wristband must be worn at all times during participation. 

2.2. Each child must be constantly supervised by an adult. The Organizer reserves the right to deny entry to unaccompanied children or those without active supervision. The recommended ratio is a maximum of 3 children per responsible adult. 

2.3. On-site, the parent/legal guardian will be required to complete and sign a consent form regarding the child’s participation, supervision, and assumption of risk. 

3. Participation of Minors Aged 14–16 

3.1. Minors aged between 14 and 16 may participate only upon submission of a written Parental Consent Form, completed and signed by the legal guardian. 

3.2. The consent form may be: 

● Uploaded online before the event; 

Sent by email to the Organizer’s official address; 

● Or delivered in signed physical format at the accreditation point. 

3.3. The Organizer will verify the validity of the form and reserves the right to deny access to any minor in the absence of the document or in case of suspicion of false declaration. 

4. Activities and Assumption of Risk 

4.1. The Kids Zone will include sports activities (including age-appropriate workouts), thematic activations, interactive games, and sessions coordinated by authorized staff.

4.2. Participation requires the accompanying adult to accept the following responsibilities: 

● The child is clinically healthy, with no medical contraindications for group sports or physical activity; 

● The child is dressed appropriately and wears sports footwear; 

● Activities are age-appropriate for children aged 4–14; 

● Minor injuries (falls, bumps, sprains) may occur during active play; 

● The parent confirms they have read and fully accepted the Kids Zone Rules. 

5. Responsibility Declaration Regarding Minors’ Participation 

By purchasing a Family Package and completing the registration process, the participant acknowledges and expressly agrees to the present document, including the Kids Zone Rules, and declares the following: 

a) They are the parent, legal guardian, or have the express consent of the legal representative of the enrolled minor(s), and all minors are aged between 4 and 14, as required by the Organizer; 

b) They accept full civil and legal responsibility for the safety, continuous supervision, and behavior of the accompanying minors throughout their participation in the event; 

c) They acknowledge that they are solely responsible for meeting all supervision requirements and for ensuring that an adult accompanies the child within the Kids Zone at all times; 

d) They understand that photos, videos, and/or audio recordings may be taken during the event that could include images or recordings of minors, and these may be used by the Organizer or its partners for promotional purposes. Participants may opt out of such use by sending a written request to dpo@sense4fit.com; 

e) They agree to the processing of personal data (their own and that of the minors) for organizational, logistical, safety, and access purposes, in accordance with the event’s Data Protection Policy; 

f) They understand and accept that the Organizer cannot be held liable, within the limits of the law, for any incidents or damages arising from: 

● Lack of supervision of the minor; 

● Failure to comply with rules or instructions issued by the Organizer; 

● Inappropriate behavior or negligence on the part of the adult or the child; 

g) They accept that the Organizer reserves the right to refuse access to the Kids Zone or to the event in general if violations of this document are observed, for the purpose of ensuring safety and proper event management, without any obligation to refund ticket costs.

IX. PROMOTIONAL GAMES AND PRIZE MECHANISMS 

Sense4Fit may organize promotional games of chance, prize draws, or interactive experiences (such as the “Spin the Wheel” campaign), designed to engage participants and offer limited rewards such as discounts, promotional items, or event-related benefits. Participation in these games is free of charge but may require the submission of personal data (e.g., name, email address), which will be processed in accordance with our Data Protection Policy. 

Prizes are awarded randomly and solely at the Organizer’s discretion, within the limits of availability. By participating in such games, users understand that there is no guarantee of winning, and all outcomes are final. Prizes are non-transferable, have no cash value (unless explicitly stated otherwise), and may be subject to additional terms such as expiration dates or usage conditions. 

Participants who voluntarily choose to receive promotional communications (e.g., newsletters, event updates) through the game interface do so by providing explicit and informed consent, which may be withdrawn at any time. Participation in the game is not conditional upon subscribing to marketing emails, and users may play without opting in for such communications. 

The Organizer reserves the right to modify or terminate any promotional game at any time, without prior notice, and to exclude participants in cases of fraud, abuse, or behavior contrary to fair play principles. 

X. GOVERNING LAW AND FINAL PROVISIONS 

These Terms and Conditions are governed by and interpreted in accordance with the laws of Romania, including, but not limited to, laws relating to consumer protection and personal data protection. 

Any dispute arising from or in connection with the interpretation, validity, execution, or termination of this Agreement shall be resolved amicably. If an amicable resolution is not possible, the dispute will be submitted to the competent courts in Romania, in accordance with the applicable jurisdiction rules. 

We reserve the right to update or modify these Terms and Conditions at any time. Any changes shall take effect from the moment they are published on the Website. We encourage you to review this page periodically and to take note of the last updated date shown at the top of this document. Continued use of the Website and our Services after updates have been published constitutes acceptance of the revised terms. 

This document must be read in conjunction with our Privacy Policy, Cookie Policy, and Kids Zone Rules, which form an integral part of your agreement with us.

If any provision of these Terms is held to be null or unenforceable under applicable law, the remaining provisions shall remain valid and enforceable in full.
